Administrative Assistant (Learning & Development)

Job Summary: Petroleum Service Corporation, an SGS Company, is a growing industrial services organization looking for a professional and organized team player to provide direct administrative support to the VP of Organizational Development, Director of Communications, and Corporate Trainer.  This position is the lifeline for our company’s leadership development/learning and development initiatives and will work in our downtown Baton Rouge corporate office.

Specific Responsibilities:

  • Provides a broad variety of direct administrative support to multiple leaders, including the creation of presentations, spreadsheets, and documents; managing calendars and schedules, arranging travel plans and itineraries, handling expense reports and assisting with newsletters.
  • Assists in large and small event planning, arranging food, materials, booking facilities, training rooms, hotel rooms and activities.
  • Creates and prepares training materials and tracks soft skills training records companywide.
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
  • Collects and analyzes information to create schedules, reports, spreadsheets, graphical data and presentations using Outlook, Microsoft Word, Excel, PowerPoint and Visio.
  • Maintains confidential information related to the business.
  • Participates in continuous improvements for the administrative role and the organization.
  • Contributes to a team effort by accomplishing related results as needed.

Minimum Job Requirements:

  • Two years of experience in an administrative assistant role.  Experience in Learning & Development is a plus.
  • Must be proficient in MS Office (Word, Excel, PowerPoint and Outlook).  Experience with LMS and Visio is helpful and preferred.
  • Bachelor’s degree is preferred.

Skills/Qualifications:

  • High degree of flexibility and may need to flex work schedule earlier or later than normal for some events.  Some events are off-site and require local travel.
  • Excellent interpersonal skills and ability to work well with all levels of internal management and staff as well as vendors.
  • Attention to detail in establishing priorities and meeting deadlines.  Able to juggle multiple tasks using strong organizational and time management skills.
  • Keen sense of discretion and judgement, professional demeanor and ability to maintain confidentiality.
  • Demonstrated poise and tact, with outstanding work ethic and moral standards.
  • Excellent communication skills with extreme attention to detail to include composing, typing and proofing.
  • Creativity and a good eye for design, art and images.
  • Self-motivated with the ability to work independently.
  • Ability to lift, pull, or push up to 20 lbs. of force occasionally to move objects.
