Job Title: Executive Administrative Assistant

Primary Responsibilities: Provide direct administrative support to the Chief Operating Officer, Vice President of Operational Excellence and the Vice President of Business Development.

Work Location: 62E

Reporting to: Human Resources Manager

Exempt or Non-Exempt: Non-Exempt

Hourly or Salary: Salary

Specific Responsibilities:

  • Provides direct administrative support to multiple organization executives.
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
  • Collects and analyzes information to create reports, spreadsheets, graphical data and presentations using Microsoft Word, Excel, PowerPoint and Visio.
  • Completes analysis and generation of business development proposals, negotiations and contracts.
  • Tracks new and existing vendor information.
  • Maintains confidential data related to customers and operations.
  • Processes expense reports in the Oracle system.
  • Coordinates agendas and books facilities for internal meetings, customer meetings, conferences, teleconferences and travel.
  • Participates in continuous improvements for the administrative role and the organization.
  • Contributes to a team effort by accomplishing related results as needed.

 

Skills/Qualifications:

  • Proficient in MS Office (Word, Excel, PowerPoint and Outlook).
  • Strong organizational and time management skills.
  • Ability to prioritize projects and multitask.
  • High attention to detail.
  • Excellent written and verbal communication skills.
  • Professional demeanor and ability to maintain confidentiality.
  • Self motivated and the ability to work independently.
  • 3 – 5 years of experience preferred.

Minimum Job Requirements: 18 years or older and legally able to work in the U.S.; stable work history with good references from past employers; pass a drug screen, physical, and background check; and speak fluent English.
