Administrative Assistant

Port Arthur, TX

Job Summary: This role will be a part of our Port Arthur office workgroup. This position will be supporting administrative functions to the Operations and Human Resources team. 

Specific Responsibilities:

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries at the front desk.
  • Helps employees by referring inquiries to appropriate person; providing information and resources; maintaining bulletin boards.
  • Maintains welcoming environment by keeping reception area clean; providing refreshments; maintaining library of information and reading; maintaining security.
  • Performs general clerical duties to include, but not limited to: copying, faxing, scanning, mailing, and filing.
  • Signs for and distributes office deliveries/packages.
  • Makes copies and packets for employees meetings (supervisor meetings, safety meetings, new employee orientation, etc.).
  • Forwards information by opening, sorting, and distributing mail.
  • Maintains visitor and employee confidence by keeping information confidential.
  • Supports site leaders in the following aspects:
    • Completes information for time sheets and payroll; enters data into Excel spreadsheet
    • Orders PPE supplies as needed (e.g., safety glasses, gloves, hard hats, etc.)
    • Assists in all aspects of training documentation/recordkeeping
    • Receives, compiles and enters safety hazard recognition/incentive information
    • Creates PowerPoint presentations and supporting documents for monthly, quarterly and annual meetings.
    • Updates job knowledge by participating in educational opportunities.
    • Schedules candidates for Safety Council/OSHA courses.
    • Codes invoices from Safety Council, background checks, and other vendors.
    • Processes and coordinates background checks, drug screens, and physical exams of external candidates, acting as a liaison with our third party vendors. Escalates issues to recruiters and team leader for resolution.
    • Files records in accordance with the appropriate filing system.
    • Assists with written and verbal employment verification inquiries from both inside and outside the company according to company policies.
  • Recognizes strong principles of customer service to all external clients and potential employees, as well as our internal co-workers and support staff.
  • Maintains a high level of confidentiality.
  • Contributes to our HR team's efforts by accomplishing related tasks as needed.
Skills/Qualifications:
  • Proficient in MS Office.
  • Must have excellent customer service skills and be a collaborative team player.
  • Must have strong interpersonal skills to communicate with all levels of leadership, as well as external candidates.
  • Excellent verbal and written communication skills.
  • Highly self motivated, attention to detail, ability to multi-task, and ability to meet deadlines are essential in this position.
  • Ability to maintain a high level of professionalism and confidentiality.

Minimum Job Requirements: 18 years or older and legally able to work in the U.S.; stable work history with good references from past employers; pass a drug screen, physical, and background check; and speak fluent English.

Primary Responsibilities: This position serves in an integral role supporting a fast-paced work environment. As a strong contributor to the team's overall success, the Administrative Assistant supports Operations Managers and the Human Resources department. In this role the Administrative Assistant interfaces with all levels of leaders, employees and candidates throughout the company. The individual in this role must exhibit a high level of discretion, tact and solid judgment. This role will also greet visitors and employees by answering and directing phone calls, welcoming, and notifying staff of visitor's arrival.
