Job Summary: We are looking for an HR Compliance Administrative Assistant / Designated Employer Representative (DER) to join our fun, energetic HR team in our Pasadena Corporate office. This position serves as a primary point of contact for our field leadership team, HSE group, HR, and clinic providers to ensure employees are compliant with our Drug and Alcohol programs. The ideal candidate would have administrative experience working in an industrial environment with knowledge of OSHA regulations, DISA, and company drug screening programs.

Work Schedule: Monday - Friday 8:00 am - 4:30 pm (flex schedule)

Job Duties & Responsibilities:

  • Executes the company drug, alcohol and physical testing program in coordination with various clinics, customers, test laboratories and third-party consortiums.
  • Tracks deadlines and results to meet pre-employment, periodic, random, post-accident testing requirements.
  • Regularly work with different groups within Petroleum Service Corporation, such as the Health, Safety and Environmental (HSE) and Human Resources department, to proactively communicate upcoming tests and results for specific employees.
  • Upon request, demonstrate compliance with any customer requirements and employees.
  • Establish and maintain strong working relationship with various clinics in network to facilitate efficient processing of company employees.
  • Reconciles invoices against services provided by multiple vendors and locations.
  • Audit invoices for compliance and accuracy.
  • Implements and practices continuous improvements to any processes related to the compliance and business administrative functions.
  • Conducts self in an appropriate manner as a representative of Petroleum Service Corporation, working effectively in a diverse work environment.
  • Audits, tracks, and files away all drug and medical results in databases
  • All other job-related duties as assigned
Job Qualifications:
  • Progressively responsible administrative experience in a fast-paced environment.
  • Proficient in Microsoft Word processing, Microsoft Excel spreadsheets, and database systems.
  • A good understanding of OSHA regulations as they pertain to industrial hygiene and occupational health is desired.
  • Ability to manage workload effectively including plan, coordinate, organize, prioritize, and handle multiple tasks.
  • Ability to communicate through written and verbal correspondence.
  • Ability to use good judgment to make decisions.
  • Highly detail oriented.
  • Ability to maintain confidentiality.
  • 18 years or older and legally able to work in the U.S.
  • Stable work history with good references from past employers
  • Pass a drug screen, physical, and background check
  • Speak fluent English
  • PSC is a veteran-friendly company. Previous military experience and proven ability to follow procedures is a plus.
